Tenant onboarding in RenIQ follows a clear, structured process. Contract terms, house rules, and required information are presented transparently and accepted formally by the tenant.

RenIQ ensures invoices are generated consistently based on defined rules. Payment status is tracked clearly, and records remain complete and accurate over time.

All rental-related information lives in one place. Contracts, invoices, payment status, and tenant records remain aligned and current throughout the rental period.

A real-world RenIQ workflow

RenIQ is designed to reflect how rental administration actually happens in practice. The workflow below shows how owners and tenants interact with the system in real use.

Owner setup

  • The owner signs up and creates their RenIQ account.

  • Property and rental units are set up in the system.

  • Rental rules, billing structures, and invoice settings are defined.

  • Tenant onboarding and contract templates are prepared based on the defined setup.

This configuration is done once and forms the basis for all ongoing operations.

Tenant onboarding

  • The owner generates a lease contract based on the provided templates, defines the lease period, and adjusts the relevant lease details.

  • The system generates a secure onboarding link, which the owner shares with the tenant.

  • The tenant completes onboarding by providing their information.

  • Rental contracts and house rules are reviewed and formally accepted by the tenant.

  • Once onboarding is completed, the lease becomes active in the system.

This establishes a clear and documented starting point for the rental relationship.

Ongoing rental operation

  • RenIQ generates invoices based on the defined billing rules and the active lease.

  • RenIQ sends tenants an automated, secure link by email or Line (if the tenant has provided Line) to access the generated invoice.

  • Owners and tenants can review invoices and payment status related to the active lease in the system.

  • Payments are handled either through the integrated payment option (if enabled) or externally.

  • Invoices are marked as paid automatically when payments are processed through RenIQ, or manually by the owner when payments are handled outside the system.

  • RenIQ sends automated payment reminders when an invoice status changes to “due”, based on the billing rules defined for the lease.

From this point onward, rental administration follows the same predictable cycle each month.
